Clinical AI is an add‑on for Provet that offers AI‑powered features to help veterinary teams work more efficiently. It includes features such as AI Scribe, AI Patient History summaries and AI Discharge Instructions, which automate note‑taking, summarise patient records and draft client‑ready discharge summaries. This article explains how to purchase the Clinical AI subscription, how seat‑based pricing works, the difference between seats and users, and what happens when you assign or remove seats.
What is a seat?
A seat is a licence assigned to a specific user that grants full access to Clinical AI features. Each seat allows one person to use the product. Pricing is per seat (per user login), and each seat corresponds to a unique login that cannot be used by multiple people at the same time.
You only buy as many licences, or seats, as you need. The more seats you need, the higher the total cost will be, since each seat controls how many people can access Clinical AI.
Seats vs. users

User refers to any person in your organisation who can log in to Provet. A clinic may have hundreds of users, such as veterinarians, nurses, receptionists, etc.

Seat is a paid licence that is assigned to a user. Assigning a seat upgrades that user from the Free plan to the Unlimited plan and unlocks unlimited AI usage.

Unseated users remain on the Free plan, which has monthly usage limits. Once their quotas are used up, unseated users are unable to use AI features until the monthly reset.

Seat assignment is flexible. Administrators can assign seats to any active user and reassign seats when staff changes occur. You can assign seats on the Clinical AI subscription page, and changes take effect immediately.
How seat‑based pricing works in Clinical AI
When your organisation’s country is set in Provet, the subscription page will display the correct currency and price per seat. Taxes may apply depending on your region.
Plans and usage limits
Clinical AI subscriptions use two plan levels: Free plan and Unlimited plan.

The plan is selected at the organisation level but applies differently to users with and without seats.

Every organisation automatically has the Free plan, which provides limited use of AI features to all users.

Limits apply per user per calendar month.

When you purchase seats, the organisation is considered to have the Unlimited plan.

Users with assigned seats have unlimited use of all Clinical AI features.

Note that on the Free plan, once a user reaches their quota for any feature, the corresponding AI button becomes disabled and a tooltip shows when the quota resets (at the beginning of the next month). Ongoing AI Scribe sessions are not interrupted; the limit applies only when starting new recordings.
Users without a seat continue to have access to Clinical AI features with the Free plan limits shown above.
Monthly quotas and seat resets

Quota reset: Usage quotas for unseated users reset on the first day of each month.
For example, if a nurse reaches their 30‑minute AI Scribe limit on 15 July, new recordings can only be started on 1 August.

Switching plans: When switching from Free plan to Unlimited plan or vice versa, quotas reset immediately. If you downgrade to the Free plan after cancelling all seats, all users’ quotas are reset at the next billing cycle.

Seat assignment changes: When a seat is assigned to a user, that user moves to unlimited AI Scribe usage immediately. Removing a seat reverts the user to the Free plan; their monthly AI Scribe quotas reset at the next billing cycle reset. All users in an organization where a seat is purchased have access to unlimited AI Discharge Instructions and AI Patient Summaries.
How to purchase Clinical AI seats

Go to Settings > Subscription > Clinical AI Subscription. The subscription page displays your current plan, seat count and usage statistics.

On the subscription page, you see a Purchase seats button if you do not have the Unlimited plan or Manage seats if you already have seats.

Use the + and - buttons, or enter a number, to adjust the number of seats you want to purchase for your organisation. The page shows the price per seat based on your country.

Review the total cost and select Confirm purchase. Seats are billed monthly and added to your organisation’s invoice. Once purchased, the seat count updates immediately in Provet.

After purchasing, click Assign seats to assign seats to specific users. Search and select the users who need unlimited AI access. You can update seat assignments any time. Select Confirm assignment when all specified users are assigned.

If your team grows or usage patterns change, you can purchase additional seats or remove seats. Changes you make will take place immediately.
No. Each seat corresponds to a single user login, and you cannot share logins across multiple users at the same time. If more than one person needs unlimited access, you need additional seats.
You can reassign seats which are no longer in use. For example, Veterinarian A and Veterinarian B are both users. Veterinarian A is on the Free plan and Veterinarian B has a seat on the Unlimited plan. Veterinarian B no longer works at the clinic, and the administrator can unassign the seat from Veterinarian B and reassign it to Veterinarian A.
