AI Scribe is a built-in AI-powered assistant for veterinary consultations that simplifies documentation by transcribing the conversation and generating structured notes. It helps reduce manual work and ensures consistent, complete records.
In order to make use of AI Scribe, you will need a combination of the following:

A microphone - You can make use of your device's built-in microphone, USB microphone, or a bluetooth microphone. The system will automatically make these available for selection.

Permission to record audio - This is required to allow input from your device's connected microphone.
Tip
To get the best results from AI Scribe, ensure you are vocal and clear. The more information that is captured during the consultation, the more comprehensive and detailed your final text note will be.

Open a consultation and launch AI Scribe by clicking the AI Scribe button at the top-right of your screen.

Choose a summarised note template from one of the out of the box options. If you have created custom text templates for AI Scribe, you can select one of them here.

Optionally, select the microphone to use for recording from the drop-down list to the left of the record button. The microphone can be changed even after a recording has started.

Click Start Recording to begin recording the consultation with AI Scribe.

If needed, you can pause the recording by clicking Pause recording and you can resume the recording later.

Clicking Done will initiate the note summary and transcription. The note can be reviewed immediately.

If you want to discard the current recording and start again, select the button with three dots and click Start over. Note that starting over will delete the previous recording and related transcript.
Note
Always review AI responses before making a clinical decision.
You can change your summary note template during or after an active recording. If you pause a session or finish a recording, the AI generates the final summary based on the newly selected template.

Select the note name in the AI scribe dialogue.

Select a different template from the summary template drop-down list.
The AI Scribe will process the recording using the structure of the new template.
To continue recording a consultation and add more information:

Reopen the consultation and relaunch AI Scribe by clicking Transcription complete (or Recording paused), clicking the button with three dots and selecting Resume recording.

Add the new clinical findings or updates. A new version of the note is generated with the updated clinical findings and the existing content from the resumed consultation.
Note
A recording can be resumed within 60 minutes, after which it will be deleted.
After completing the recording and reviewing the summary note, you can add the AI Scribe note to a clinical note.

Click Done when the recording is complete.

Review the transcription and generated note.

Click Add to clinical note to save the content as a clinical note.
Note
The transcript is available for 24 hours only. To save it, add it to a clinical note.
After AI Scribe generates a summary, you can rate the quality of the result. Your feedback helps improve AI Scribe over time.
To rate an AI-generated summary:

Open the AI Scribe results after the recording is complete and the summary is generated.

Select the thumbs-up or thumbs-down button next to the generated summary.

Select the thumbs-up button if the summary is accurate and useful.

Select the thumbs-down button if the summary contains errors or is missing important information.

Your feedback is saved automatically. You can change your rating within 24 hours of submitting it.
Note
The feedback you submit is anonymous and is used only to improve the quality of AI Scribe-generated content. It does not change the content of the generated summary.
