Create Text Templates

You need 'Templates' permission to create and manage text templates.

  1. Go to Settings > Lists & Templates > Templates > Text templates.

  2. In the text templates section, select Add.

  3. Choose the text template Type.

  4. Clinical note templates may also include an option to select a Note type. See Clinical Notes Settings, Clinical Note Types, and Clinical Note Templates for more information on clinical note types.

  5. Define a Title for the template.

  6. Enter the template body Text, which can be either free-form text or a combination of text and placeholders. See Use Placeholders in Text Templates for more information. You can also apply available font styles for text formatting if needed.

  7. If you want to make the template available only to a specific user (for example, yourself), select a User.

  8. Select the Clinic location(s) for which the template will be available.

  9. If you want to keep the template as a draft and not yet available for use, select the Draft checkbox. You can view all draft templates using the Draft filter in the text templates list.

  10. Select Save.

Create Your Own Text Template

You need 'Templates' permission to create and manage your own text templates. Enable user-editable text templates setting must also be enabled under SettingsClinic location.

You can create your own custom text template directly on the consultation page under Consultation details, Clinical notes and Discharge instructions by following the steps below:

  1. Go to a consultation page.

  2. Depending on where you want to create the template:

    • Consultation Details: Select the pen button, then select the Text templates button next to the Preliminary note field.

    • Clinical Notes and Discharge Instructions: Select the Text templates button.

  3. In the opening dialog, select the Create note template button.

  4. For clinical notes, you can optionally select a custom note type from the Custom type drop-down list. See Clinical Notes Settings, Clinical Note Types, and Clinical Note Templates for more information on clinical note types.

  5. Define a Title for the template.

  6. Enter the template body Text, which can be either free-form text or a combination of text and placeholders. See Use Placeholders in Text Templates for more information. You can also apply available font styles for text formatting if needed.

  7. Select Save. The text template is automatically assigned to your active department, ensuring that the template is only available in the department you are currently working in.

Create a Custom Text Template for AI Scribe

You need specific user permissions to access settings and manage text templates.

  1. Go to Settings > Lists & Templates > Templates > Text templates.

  2. Select Add. The Create text template dialogue opens.

  3. From the Type drop-down menu, select Clinical note template.

  4. Enter your content in the template body, including text, placeholders, and fields. For detailed information, see Create Text Templates.

    • Automating fields: If you add selection boxes, option boxes, or text fields, the AI Scribe can automatically complete these for you during a consultation.

    • AI Instructions: For text fields, you can add specific instructions within the brackets. This tells the AI to populate the field only if certain findings are made, example: [[ If mites in left ear ]].

  5. Select the AI Enabled checkbox.

  6. Select Save.

Edit a Text Template

To edit an existing text template, go to Settings > Lists & Templates > Templates > Text templates. and select the pen button at the end of the template row. You can modify any information as needed.

Archive a Text Template

To archive a text template, go to Settings > Lists & Templates > Templates > Text templates and select the trash bin button at the end of the template row. Then, select Archive in the confirmation message dialogue.

You can view archived text templates by selecting the Archived filter in the text template list. If a text template was mistakenly archived, you can restore it by selecting the circular arrow button at the end of the template row.

Copy a Text Template

To create a copy of a text template, go to Settings > Lists & Templates > Templates > Text templates and select the copy button at the end of the template row. Define a New name for template and select Save.
