[en] Set Up the UK Charity Customer Type

[en] The UK charity customer type allows clinics in the UK to apply specific VAT rules for eligible organisations in compliance with UK tax legislation. When a client is assigned the UK charity customer type, VAT is automatically set to 0% for dispensed medicines. Only users with the required permissions can assign this customer type, and verification steps must be completed before approval.

[en] Requirements

[en] To use the UK charity customer type, the following requirements must be met:

  • [en] At least one clinical location's country must be set to UK.

  • [en] To assign the UK charity customer type, a user must have the 'Customer Type: UK Charity' permission. This permission should only be granted to users responsible for verifying client documentation for UK charity eligibility.

  • [en] 'Enable charitable organization customer type' setting must be disabled under Settings > General > Organization > Organization settings.

  • [en] If your clinic uses the setting VAT rate for the internal type/external type/research type under Settings > Organization, ensure that the selected type does not apply a VAT rate that conflicts with UK charity VAT rules.

[en] Create a UK Charity Customer

  1. [en] Create a tag to indicate the client requires verification.

    1. [en] In the Text field, add the tag text, e.g., 'Is UK charity'.

    2. [en] Under Usable in, select Client.

    3. [en] Under Used only for, select All users.

    4. [en] Select Save.

  2. [en] Create a new client.

    1. [en] Add the Organisation name. Additional fields appear below the field.

    2. [en] From the Customer type drop-down list, select Company. An authorised user will later change the customer type.

    3. [en] Add the tag you created in step 1.

    4. [en] Fill in other required information and save.

  3. [en] Create a task for an authorised user to review the documentation and update the customer type.

    1. [en] In the Create task dialogue, provide a title, e.g., "Check UK charity documentation and change customer type."

    2. [en] Under Client, select the client you created in step 2.

    3. [en] Under Assigned user, select the appropriate user from the drop-down list. Ensure the user belongs to a permission group where the 'Customer Type: UK Charity' permission is set. See Käyttäjien oikeuksien tarkastelu ja hallinta for more information.

    4. [en] Select Save.

    [en] After this, an authorised user will verify the necessary documentation and update the customer type to 'UK charity'.

[en] Verify and Assign the UK Charity Customer Type

[en] You need the 'UK charity' permission to assign the UK charity customer type to a client.

  1. [en] To view the task that has been assigned for you, select the checkmark icon in the top menu bar and open the task.

  2. [en] In the View task dialogue, select the client name to open the Client details tab.

  3. [en] Upload documentation verifying the organisation's eligibility for UK charity type following your clinic’s procedure.

  4. [en] On the client page, edit client details and change the Customer type to UK charity.

  5. [en] Optionally, you can create a new tag, e.g., 'UK charity - documentation uploaded' and add the tag for the client. The tag indicates that the required documents have been uploaded and reviewed, making it easy for other users to identify verified clients.

  6. [en] Select Save.

  7. [en] Open the task, add a note if necessary, and select Mark done to complete it.
