Handling and injection fees are additional charges attached to medicine items to cover the costs of preparing and administering medications. In Provet, fees can be configured to apply automatically when a medicine is added to a consultation.

Handling fees cover the cost of preparing, packaging, and handling a medicine. They can be applied to both dispensed (sent home) and administered (given in-clinic) medications, in both consultations and counter sales. You can configure separate handling fees for full and partial packages.
Injection fees cover the cost of physically administering an injection to a patient. They can only be applied to medicines administered in consultations. For administered medicines, handling and injection fees can be used together.
To view and edit handling and injection fee settings, users need the following permissions. To view or edit permission groups, go to Settings > Users > Permission groups, and select the button with three dots on the permission group row, select Permission settings.
Required permissions:

Settings page (read): Required to access the settings area.

Access/edit handling and injection fee settings (read and write): Required to view and edit the Handling & Injection Fees tab.

Add handling fee on consultation (write): Allows users to manually apply or remove a handling fee when adding a medicine to a consultation. This permission only takes effect if the Allow user to change handling fee checkbox values setting is enabled in the clinic location settings. If the setting is disabled, the fee is applied automatically and cannot be changed by the user.
To configure handling and injection fees on individual items, users also need the following permissions:

Items (read and write): Required to access and edit items.

Handling and injection fees of items (write): Required to configure handling and injection fees on individual items.
Handling and injection fees are based on procedure items in your catalog. Before you start, make sure you have created the items you want to use as fees. See Create an Item for more information.
Example:
Create a procedure item for handling fees, for example called "Medicine Handling Fee", and give it the price you want to use as the default handling fee price. Create a separate item for injection fees, for example called "Injection Fee", and give it the default injection fee price. You can use the same item for both fee types, but using separate items makes it easier to track and report on each fee individually.
To configure the default handling fee for your clinic location, go to Settings > General > Clinic location > Handling & injection Fees > Handling fees.

In the Handling fee item field, select a procedure item to use as the handling fee. The price of the selected item is used as the default fee price.

Optionally, select the Handling fees for partial packages checkbox if you want to use a separate handling fee for partial packages. Then select a procedure item in the Handling fee item for partial package field to use when a partial package is dispensed.

Under Handling fee charged by default, select whether the handling fee should apply automatically to dispensed items, administered items, or both.

Under Allow user to change handling fee checkbox values, select whether users can change the handling fee when adding a medicine to a consultation — separately for dispensed items, administered items, or both. If enabled, users will see an Apply handling fee checkbox in the item dialog and can choose not to apply it. If disabled, the fee is applied automatically and cannot be changed by the user.

To limit the total number of handling fees charged, enter a value in the Maximum handling fee quantity field. Then, under Maximum handling fee scope, select whether the limit applies Per consultation or Per calendar day. Fees above the limit are added with a 100% discount to keep statistics intact.

Select Save.

The default fee price can be overridden for individual medicine items. See Configure Fees on Individual Medicine Items.
To configure the default injection fee for your clinic location, go to Settings > General > Clinic location > Handling & Injection Fees > Injection fees.

In the Injection fee item field, select a procedure item to use as the injection fee. The price of the selected item is used as the default fee price.

Select Save.
Injection fees are always applied automatically to administered medicines and cannot be disabled by users when adding a medicine to a consultation.
The handling and injection fee settings define which procedure items are used as fees and set their default prices. By default, all medicine items use these default prices. To complete the setup, you can configure fees on individual medicine items to specify whether an item generates a fee, and whether it uses the default price or a custom price.

Go to Catalog > Items.

Add a new item or open the item you want to edit.

On the Pricing tab, configure the handling fee for the item:

To use the default handling fee, select the Use default handling fee checkbox.

To set a custom fee, clear the checkbox and enter a value in the Handling fee or Handling fee with VAT field. These fields are linked, entering a value in one will automatically update the other based on your VAT settings.

If applicable, configure the partial package handling fee:

To use the default partial handling fee, select the Use default partial handling fee checkbox.

To set a custom fee, clear the checkbox and enter a value in the Partial package handling fee or Partial package handling fee with VAT field.

For administered medicines, configure the injection fee:

To use the default injection fee, select the Use default injection fee checkbox.

To set a custom fee, clear the checkbox and enter a value in the Injection fee or Injection fee with VAT field.

VAT Handling (Organisation Settings)
Go to Settings > General > Organization settings > Fee items inherit VAT from medicine.
The Fee items inherit VAT from medicine setting controls whether handling and injection fee items use the VAT rate from the linked medicine item instead of their own VAT group. Enable this setting if your clinic requires VAT to follow the medicine item.
To access organisation settings, a user must have administrator permissions.
Invoice Print Settings
Go to Settings > Print settings > Invoice or Estimate.
To combine the handling or injection fee with the medicine item on invoice and treatment estimate printouts, select Combine injection and handling fee to medicine row on printout, medicine's printout name used.
Note
The fee can only be combined with the medicine item on the same row if the fee and the medicine item have the same VAT group. If you have enabled the Fee items inherit VAT from medicine setting under organisation settings, the fee will always use the same VAT as the medicine item and the fees can always be combined.
