Overview of Invoices Report

This function is currently only available in a limited number of customer environments.

The Invoices Report provides a list of invoices for a specific timeframe. Use it to find specific invoices and identify which are unpaid or overdue. The report supports custom views, so you can save your preferred filter combinations and reuse them for routine tasks without re-entering settings each time.

The Invoices report replaces the legacy Invoices and Unpaid Invoices reports.

To access the Invoices report, go to Reporting > Reports > Invoices. On the invoice report page, you can find the following tabs to help you manage your data:

  • Invoices: The primary page used to filter data and manage custom views.

  • Scheduled: Set up and manage automatic, recurring report delivery by email. You can also open this tab by selecting the Schedule button in the top-right corner.

  • Shared: Send the report to colleagues or accountants by email and view previously shared reports. You can also open this tab by selecting the Share button in the top-right corner.

At the top of the Invoices page, dynamic summary numbers are displayed based on your selected filters, allowing you to quickly monitor key figures.

Configure Report Views

You can save frequently used filter combinations as custom views to create your own exact reports. These views appear as selectable tabs at the top of the Invoices page for quick access.

The following default views are available:

  • Default: Displays invoices with Invoice issue date set to the last 30 days and Invoice status is Finalized.

  • Unpaid & Overdue: Displays invoices with Invoice issue date set to the last 30 days, Invoice status is Finalized, Invoice due date from Jan 1, 2000 to today, and payment status is Unpaid or Partially paid.

  • VAT & Tax Summary: Displays invoices with Invoice issue date set to the current month and Invoice status is Finalized.

  • Credit Notes Register: Displays invoices with Invoice issue date set to the last 90 days and Invoice type is Credit note.

  • Revenue by Location: Displays invoices with Invoice issue date set to the last 30 days, Invoice status is Finalized, and invoice type is Counter sale.

The default views are displayed as tabs at the top of the Invoices page. On smaller screens, views that do not fit are accessible from the More drop-down next to the visible tabs.

You can also create and manage your own custom views:

  • Create a new custom view: Set the filters to your preference and select the + button. Enter a name for your new view and select Add. You can also use the Save view button.

  • Customize an existing view: Select any view and change the filters as needed. To keep these changes, select Save view and choose Save changes or Save as new view from the drop-down menu.

  • Manage custom views: Right-click or long-press a saved view to rename, duplicate, or delete it.

Apply Filters and Generate Report

The report updates automatically as you adjust your filters. To apply your preferred filters:

  1. Select Display to choose which invoice data columns are visible in the table. From this drop-down menu, you can:

    • Select Group by to configure how you would like to group the data in the report (e.g., by responsible staff or clinic location).

    • Select Manage columns to add or remove visible columns from the table.

  2. Select + Add filter and select Invoice due date and/or Invoice issue date to set the desired timeframe. You can use the quick-select options or set a specific timeframe in the calendar view. Select Apply.

  3. Select + Add filter again for any additional criteria:

    • Veterinarian: Filter by the responsible staff member or select multiple responsible staff.

    • Clinic location: Select one or multiple clinic locations to include in the report.

    • Invoice type: Filter by the invoice type, Consultation, Counter sale, Credit note and/or Consolidated invoices.

    • Referring vet: Filter by the referring veterinarian.

    • Payment Status: Filter by Paid, Unpaid, or Partially paid.

    • Invoice status: Filter by Draft or Finalized.

    • Invoice Tags: Filter by one or more invoice tags. Use the search field to find a specific tag, or select all and deselect individual tags as needed.

    • Client Tags: Filter by one or more client tags.

To edit an applied filter, select it to make changes, or select the x next to the filter name to remove it. To clear all filters, select Reset filters.

To open a specific page in a new browser tab, select the Invoice number, Consultation number, or Client name links within the results table.

Schedule and Export the Report

  • Schedule: Select the Schedule button in the top-right corner, or open the Scheduled tab and select + New schedule, to set up automatic, recurring report generation and delivery by email. See Schedule a Report for more information.

  • Export: Select the Export button in the top-right corner to download the report. Choose from CSV or Excel formats.

  • Share: Select the Share button in the top-right corner, or open the Shared tab, to send the report as an email.
