Update Items for a Specific Clinic Location in Pricing Tool

Once you have published your items from Pricing Tool to your clinic locations in Provet, you can manage the items in Pricing Tool using categories, edit individual items, or import items from a file. You can also edit your items in Provet either in bulk, individually, or by importing item updates from a file.

When you edit items in Provet, the changes apply immediately to your consultations and invoices in Provet. Note that in the Pricing Tool, the changes will show the next day after the nightly synchronization unless you synchronize the data manually,

For changes made in Pricing Tool need to be published to Provet to take effect.

You can manage your items centrally but also make individual adjustments for each clinic location. Note that you cannot modify the price for the central clinic location in the Pricing Tool, but only the prices for the local clinic locations.

Set Prices for Items in Pricing Tool

If you only have a few items that have different prices for one or multiple clinic locations, you can set the price per item for each clinic location in the Pricing Tool. You can do this on the item page under Clinic location specific pricing. See also Set a Clinic location-Specific VAT for an Item in Pricing Tool. Instead of setting individual prices, you can also apply default percentages to items.

Edit Item Prices in Provet

Users who do not have access to Pricing Tool can edit item prices in Provet for the specific clinic location.

Import Item Updated From a File in Provet

You can import item updates from a file to one clinic location in Provet. This allows you to to bulk edit items per item type for one clinic location.

Importing Clinic location specific prices

If you need to update the selling price for items in a specific clinic location without adjusting the main item price in the Pricing tool, you must use the following process. The file must contain columns to map correctly: besides the selling price, the file must contain at least item ID (automatically generated and item-specific) or item code (unique manually assigned code for the main item).

  1. Go to Settings > Import & Export > Import from file.

    • Note that if you have mixed item types you must perform the import separately for each item type (procedures, medicines, supplies, laboratory analyses.

  2. Upload the excel file that includes items by type.

  3. Select the Import model by the item type and select Next.

  4. Map the item list and select the clinic location where you are updating the prices and  select Use as key field. This is important to prevent other item lists from getting changed.

  5. Map the item code and select Use as key field. If the “Key field” is not selected, then items will not update.

  6. Map all other required columns such as selling price and VAT.

  7. Select Next and review the updates. If the preview is not correct you must go back and correct the mapping. It is not possible to remove imported data afterwards.

  8. Select Start import.

  9. Review the import success and confirm the prices are accurate in Provet.

To transfer the prices to the Pricing tool, synchronize the updated prices in the Pricing Tool:

  1. Go to: Status report > Synchronize > Items modified in the last 24 hours.

    • This synchronization is faster than selecting All items. You can also synchronize all items if necessary.

  2. Select Confirm and review the synchronization to confirm the clinic location prices are correctly overwritten in the Pricing Tool.
