Appointment Settings

This article explains how to set up your appointment calendar in Provet. It covers essential settings for adjusting the calendar's appearance and functions, such as defining timeslots and setting start and end hours. It also details various booking settings to adapt your appointment workflow.

Weekdays in calendar

Select this checkbox to show or hide weekends in the calendar.

Calendar Slot Sizes

With this option, you can set the length of the appointment calendar time slots. The length of a slot can be from 5 minutes to 60 minutes.

First day of week

Use this option to set which day is the first day of the week in your calendar.

First hour of day, Last hour of day

These choices set the visible time range for the entire day in your calendar. For example, you can set the day to display from 0 to 24.

Show Day view Option

This checkbox enables a default day view in the calendar, providing a pre-filtered time period. The filter for this is located under General in the filters section, on the left of your calendar. You can set the time period for the day view using the First Hour of Day View and Last Hour of Day View settings.

First hour of day view, Last hour of day

With these choices, you set your desired time span for your day view. For example, set the First hour of day view to 8 and Last hour of day view to 17.

Always show current day as the default view

When this option is selected, the appointment calendar always shows the current day by default. Otherwise, the calendar shows the previously viewed day, week or month.

Allow booking appointments outside opening hours

When this option is selected, it is possible to book appointments outside the opening hours (the first and last hour of the day). When the option is not selected, a warning message is shown in the appointment booking dialogue when the time is outside the opening hours, and booking is not possible.

Work hours in a day

This setting is used in the calendar to calculate hours for all-day events, such as holidays or absences.

Day plan enabled

Select this to use an additional Day Plan view.

Enable internal booking

When this option is selected, the internal booking appointment type is available when booking an appointment.

Client tags enabled

When this option is selected, client tags are shown in the dialogue when adding or viewing an appointment.

Create task when client with unpaid invoices is booked an appointment

Select this option to automatically send a task to users specified in the For selected users field, when a client is marked as a bad debtor and with unpaid invoices, books an appointment. Set the number of days in the Alarm when invoice unpaid for field. This feature requires the client tags setting to be enabled.

Show shift times and types in calendar

When this option is selected, the shift type and start time are shown at the top of the shift block in the appointment calendar.

Swap appointment status and reason type colours

When this setting is selected (1), the appointment reason colour (red in the example below) is shown as the main colour and the appointment status colour as the secondary color (orange in the example below) in appointment calendar entries. When the setting is not selected (2), the status colour is shown as the main colour and the appointment reason colour as the secondary colour.

Show only public holidays on calendar

When enabled, the calendar displays only public holidays, marked with a green background. When disabled, all holidays are shown, with non-public holidays appearing with a grey background. Holidays displayed depend on the country set in Settings > Clinic Location > Clinic Location Profile.

Show warning if reason is not selected for shift type

If selected, a warning appears in the appointment dialogue if you try to book an appointment using a reason type that is not configured as bookable for the selected shift type.

Reason type required on appointments and consultations

When this option is selected, Reason type is required when booking an appointment. In addition, if Automatically populate reason from reason type is selected, the Reason type field opens a list of preset reason types. Show only users with shifts by default

When this option is selected, the Only users with shifts checkbox in the appointment calendar filters is selected by default.

Hide ward columns by default

When this option is selected, the Hide ward columns checkbox in the appointment calendar filters is selected by default.

Preliminary booking time

Set the time in minutes for how long a timeslot is reserved when a preliminary booking is made. After this time, the preliminary booking is automatically removed. This feature is used with online booking.

Third party appointment link

Enter a link to a third-party system that displays appointment details of the confirmed booking.

Enable marking appointment as confirmed

When this setting is selected, appointments can be marked as confirmed in the appointment calendar.

Information Shown on Appointment Calendar Tooltips and Calendar Slots

With the Information Shown on Appointment Calendar Tooltips setting, you can select the information shown in the calendar tooltip (1).

With the Information Shown on Calendar Slots setting, you can select the information shown in the calendar slots (2).

Click in the field to open a list from which you can select items. To remove a selected item, click the small x.

Settings for Linked Appointments

The following settings are used for linked appointments.

  • Enable multi appointments (linked appointments): When this setting is selected, you can create linked appointments for the same client and patient with different staff, time and reason.

  • Allow multi appointments to be created only for same date: When this setting is selected, you can create linked appointments only for the same day. Otherwise, you can link appointments between different days.

  • Check in the multi appointments separately: When this setting is selected, you have to admit linked appointments separately. Otherwise, you can admit linked appointments in one go.

  • Always admit multi appointments to the same consultation: When this setting is selected, linked appointments are processed as one consultation. Otherwise, you can select whether to process the linked appointments as one or start a new consultation for each.

  • Use main appointment's supervising veterinarian: When this setting is selected, the main appointment's veterinarian is shown in the consultation information when a linked appointment is admitted. Otherwise, the consultation information shows the linked appointment's veterinarian.
